When I start working inside a client’s business, I usually notice the pain points pretty quickly because I can feel them too.
In this blog, I’m sharing how I found the right solution to a problem that had been frustrating one client for a long time.
A client had been dreaming of a better way to manage important contact information. She stored contacts in her phone and on an unwieldy spreadsheet that I helped manage and often accessed to carry out my work.
We were both tired of it.
A traditional CRM could have handled the job, but it would also have introduced features, costs, and complexity that did not match the way she worked.
After understanding her workflow, the real need became clear: a simple, customized system that organized the right information and made it easy to use—for both of us.
So, I built a contact management database customized for her business using AI. We were both thrilled with the result!
The structure reflects the information she needs to capture and includes:
- A simple way to search for contacts
- Links to websites and documents
- Access from a laptop in the office
- Mobile access while on the go
The result is a practical tool we can both use right away.
This project reinforced something I see often in small businesses: the best solutions begin with understanding the work.

Do This

- Pay for features you do not need.
- Add complexity to an already frustrating process.
- Force your workflow to fit the software.
- Automate a process before understanding what is not working.
AI, automation, and digital tools can make a business more efficient, but their value depends on how well they support the people using them.
A thoughtful solution considers the workflow, removes unnecessary steps, and addresses the needs of the business owner.
